After creating the visitor and exhibitor form, you should publish the forms to be able to share the forms online and to start getting registrations for your event.
The settings for publishing a visitor form are different from those for an exhibitor form. Find out in this article how to set them up correctly.
Publish your visitor form
Before publishing your visitor form, the event must be published, the form must be properly created and it will be necessary to correctly activate the form's settings.
To publish your registration forms, you need to:
- Log in to your a.beamian account
- Select your event
- Go to the event dashboard by clicking your event name on the breadcrumbs (image bellow)
- Click on event configuration wheel
- Click on event configuration wheel
- Go to Registration Form Settings
- Now you have three options: Visitor Form Status, Visitor's Live and Micro Form Status and Exhibitors Form Status
- Depending on which one you want to publish, select the "Published" option.
Four types of forms
You can publish a visitor form that takes one of the following formats:
- Regular: a regular form involves creating a user's beamian account before the visitor filling out the form. For email validation and confirmation purposes.
- Live: an open form without creating a user beamian account.
- Micro: a form without user account creation, however, a double email confirmation is required before the visitor fills out the form.
- Live-micro: it’s used for anonymous questionnaires and must be activated solely by beamian team members. Otherwise, it will not be properly implemented.
Please note: If you are using Live, Micro or Live-Micro forms, please consider reading the article on the types of fields, because it’s necessary to select the checkbox "Micro Form" when creating form fields so that they will be visible on these form.
After choosing which type of visitor form you want to use, you must publish the form according to the rules for each type of form.
How to publish each type form? Regular Form
If you want to publish a Regular form, you need to activate Registration Forms Settings and then you will find the custom URL of your visitor form at The user-friendly URL text on the Event Information page.
- Go to your beamian account and click on your current event.
- In the upper right side click Event Configuration
.
- In Registration Forms Settings:
- Visitor's Form Status: click the dropdown menu and select Published option, if you are using a Regular Form.
- After selecting the Published option, the message Event settings update will be displayed in the upper right side of the screen.
- Click Event details on the Top Navigation Menu and then click Event Information.
- Copy the link that is following The user-friendly URL text.
- This is the link you can use to share online your visitor form.
How to publish each type form? Live Form and Micro Form
If you want to publish a Live form or Micro Form you need to activate Registration Forms Settings and then you must copy the URL after The user-friendly URL text on the Event Information page, but you have to modify the URL by adding a specific slug.
- Go to your beamian account and click on your current event.
- In the upper right side click Event Configuration

- In Registration Forms Settings:
- Visitor's Form Status: click the dropdown menu and select Published option.
- Visitor's Live and Live Micro Form Status: click the dropdown menu and select Published option.
- After selecting the two Published option, the message Event settings update will be displayed in the upper right side of the screen.
- Click Event details on the Top Navigation Menu and then click Event Information.
- Copy the link that is following The user-friendly URL text.
- For a Live form or Micro form you still need to modify The user-friendly URL text as shown in the example below, by adding the word live to the form's URL, or by adding the word micro to the form's URL.
Example:
The user-friendly URL = Regular Form: https://a.beamian.com/#/event/your-url
- Live Form: https://a.beamian.com/#/event/live/your-url
- Micro Form: https://a.beamian.com/#/event/micro/your-url
- Live Micro Form: https://a.beamian.com/#/event/live-micro/your-url
Tip: Before sharing the link, we suggest that you test the registration flow on your form. You cannot register with your organizer email.
Please note: To optimize the sharing of the visitor form link on social media you should use a different link. You can find this link on the Event configuration page > Registration Forms Settings.
Publish your exhibitor form
Before publishing your exhibitor form, the event must be published, the form must be properly created and it will be necessary to correctly activate the form's settings.
- Go to your beamian account and click on your current event.
- In the upper right side click Event Configuration
.
- In Registration Forms Settings:
- Exhibitor's Form Status: click the dropdown menu and select Published option.
- After selecting the Published option, the message Event settings update will be displayed in the upper right side of the screen.
- Click Event details on the Top Navigation Menu and then click Event Information.
- Copy the link that is following The user-friendly URL text.
- Modify the form's link by adding the word brand to the link, as shown in the example.
Example:
The user-friendly URL = https://a.beamian.com/#/event/your-url
- Exhibitor Form: https://a.beamian.com/#/event/brand/your-url
Once the form settings are activated, you can share the link with companies interested in registering for your event.
Tip: Before sharing the link, we suggest that you test the registration flow on your form. You cannot register with your organizer email.
